The PBGV won the group a few years ago. One of my clients just got a 12 week old PBGV who is more like a Gund than a real dog.

Hate hate hate this one report I have to do, where seemingly no one knows how to count an "opening" for a loan, and yet I have to report numbers for it. Getting numbers from the loan reps is like pulling teeth because even THEY don't understand the info and how to count it, so they give me too much or too little info, resulting in my report almost always being wrong, late,and late revised again. Over the course of a week I do the functions of three vastly different jobs (all part of my one "main" job) and am somehow supposed to keep on top of them all, which of course I fail at miserably because I can't possibly remember to check paper levels in copiers and printers while answering phones at our NB office while simultaneously making recruiting calls and then the next day remembering which of my uber-important reports need finishing by which date without forgetting that I also have to process and file incoming car insurance info and sorting out which office supplies orders have come in and need to be paid, while I'm in the AV office, and which project I left where two days ago when I was in that same location. Oh, on top of which, of course, I have clients of my own to keep on top of and try to sell homes to, plus my schedule with Disney, plus rehearsals (luckily only through the rest of this month), and in all this, I'm supposed to somehow remember which prospective agents I've set up appointments with and be able to follow up with the recruiting managers who never call me back (one of them never calls me back) to find out which appointments have actually taken place and which haven't and who from several months back they have hired that were my appointments so that I can somehow go back and remember when the last time I filled out a bonus report was, and keep it updated so I can get the bonus money I'm due. Am I just lazy/disorganized? Or is my work life as much of a clusterfvck as it feels? |
I feel for you Goonie - Lists and a calendar you can write on. I personally despise lists - my mother loves them therefore I hate them. But they really are the best way to keep everything on track.
That and I use one sprial bound notebook to write everything down in. Then you have your lists, notes and everything else all in one place. |
It's not really "list" stuff, most of it. The car insurance and office supplies are individual envelopes that stream in on a constant basis, the monthly reports are calendared as best as I can manage, but I'm only in the office where I can do them twice a week these days, they want me recruiting while I'm manning the front desk at the other office, but it's very hard to make outbound calls when you're supposed to be there to take incoming calls, and that's when you aren't being interrupted by agents in that office wanting you to fetch them envelopes, or asking if you've gotten and sorted the mail yet, or asking you how to work the scanner on the scanner/copier, or telling you that office machine x is out of paper, or they expect you to be able to contact IT to fix some issue when you know IT won't get back to them for days on something that probably is fixable in a few minutes, so you go and try to fix it for them, or someone comes in the door looking for an agent from a different office who decided to meet them at this office, and then when you can make a recruiting call or two, you're now recording that on your little spreadsheets at one office, but all the systems you spent the last two years implementing for yourself are all based around your computer back at the other office, where you have the peace but not the time to make recruiting calls, oh, and that's where you keep your written record of what's happened so you can call up the recruiters, hoping they'll answer their phone for a change, and follow up on appointments they've had to see if they failed yet again to tell you that they'd hired one of your appointments - thankfully since I also have to maintain a list of new hires to invite to our monthly orientation, I should eventually receive that info, but of course I get emails for new hires when I'm at the other office, meaning they don't always make the list right when it happens, so a lot depends on my remembering to go back and cross reference what happened in past days, assuming I have time to because I'm so busy catching up on all the work that wasn't getting done during the days I was in the other office....
*phew!* I didn't choose the admin stuff. I was originally just in recruiting. It was thrust upon me after a large reduction in staff. Being glad to still be employed, I said nothing. But I really am wearing too many hats and it's stressing me out. |
I suggest, if you can get your company to pay for it, a contact management program such as Act! or Goldmine. I use Act and it is great for keeping track of all sorts of things and is designed for exactly what you are doing. I use Act! at work.
Also, Outlook has built-in reminders: try using that feature. |
It's hard to do reports when people don't give you the information that you need, or give you the information on time. It seems like a corporate world wide issue.
Send IT issues to IT. That's what their there for. Or show them how to fill up the paper and then direct them to IT for further issues. |

I have no solutions, and like BTD, I believe it's a corporate world-wide issue that comes up time and time again.
